Guidelines for Rental of Outdoor Villa Garden

1. The Garden may be rented two years to the day in advance of your event date.

2. Liquor and General Liability insurance for $2M must be purchased through the City.

3. If the Garden area is available on the day requested, rehearsals may be held at no extra cost..

4. The BBQ/Picnic area will not be rented during the time of an event in the Garden. Staff will determine if time frames are workable for events in both areas. The BBQ area may be rented if garden is not yet booked.

5. Outdoor chairs are available for rental groups (up to 250) to be used exclusively in the Garden. Chairs are included in the package rate and must be reserved at least two weeks before the event.

6. Villa staff will set up and put away City chairs in Garden. Outdoor garden chairs are not permitted to be used inside the Villa.

7. Please submit Garden chair count two weeks prior to the event.

8. Applicant is responsible for supplying decorations. Written permission is required from the Villa Supervisor prior to the rental of special equipment such as fountains, tents or other equipment that may impact City facilities and/or be a safety concern.

9. Chairs and other rental equipment may be delivered the morning of the event. The rental company must pick up all equipment on the day of the rental. If the rental company will not pick up rental items at the conclusion of your event, the Applicant is responsible for removing all equipment.

10. No balloons will be allowed in the Garden area. No throwing of birdseed, rice, confetti or red rose petals will be allowed. Please discuss other alternatives with Villa Supervisor.

11. As there are residents living close by, amplified music will not be allowed. Villa Supervisor must clear the playing of other types of music.

12. Do not remove any structures from, or put nails or hooks into the wood of the gazebo or side platform. Do not move flower containers without written permission from Villa Supervisor.

13. If use of the Garden is cancelled due to rain, the garden rental fee will be refunded.

14. Photo shoots in the Garden must be scheduled in advance with the Parks & Recreation Department. If you are not having your ceremony in the Garden, the fee for picture-taking in the Garden is $100/hour.
