 GENERAL POLICY
1. Reservations for use of the facilities must be made in person by an adult of legal age (21 years) at City Hall, Community Services Dept., 401 Grove Street, Healdsburg. Telephone reservations will not be accepted. The Healdsburg rental rate is only for Healdsburg residents and businesses within the city limits.
2. Reservations will not be accepted without payment of the rental fee or deposit at time of booking. The refundable security/cleaning deposit is due 60 days before the event and will be returned to applicant in approximately 3-4 weeks after the event. If any damages, maintenance, repairs and/or services are assessed, the refund may take longer and the appropriate amount will be deducted.
3. Activities by minors (18 and under) must be supervised by responsible adults for the entire period of the event. It s recommended and may be required that approved security be obtained where alcohol is being served and there are minors in attendance. See Security Section.
4. Groups shall enter and leave the facilities at the time specified on the permit. The reservation time should include all time necessary for preparation and cleanup. Groups have use of the Main Villa or Annex for an 8-hour span (non-profit groups have 14 hours), starting at 11 a.m. on the day of the event. If the Villa is not rented the day/night before the event, groups may have use before 11:00 a.m., to be determined by Supervisor. Music must end at midnight on Fridays and Saturdays and at 10 p.m. on Sundays unless given approval by City Council. Main Villa and Annex rent for a 4-hour minimum, unless the additional hours are part of the original rental contract. Meeting rooms rent for a minimum of 2 hours.
5. Weddings performed at the Villa are not recommended to take place before 3:00 p.m. to allow for preparation time.
6. The 8 to 14 hour time span must be used on the event day and cannot be switched to another day. Overtime will be charged at $65 per hour.
7. Liquor and General Liability insurance for $2 Million must be purchased through the City. Non-profit organizations can attempt to secure their own insurance. The name on the contract is the responsible person and must also be on the insurance certificate. Liquor liability is also covered under the American Legion.
8. The applicant on permit must be present at the facility during the time of use.
9. The rental permit is subject to preemption by the City. The organization will be notified immediately if it should later be determined that it will be necessary, due to local or national emergency, to use the facility for city purposes on the date(s) covered by the permit.
10. The applicant is responsible for the conduct of the participants, any damages to equipment or property, and all necessary fees.
11. Lost and found items will be kept at the Villa office. The City of Healdsburg is not responsible for lost or stolen items.
12. Dancing will be confined to the Ballroom (left side), unless approved by Staff.
13. The Villa, Annex, Wedding Garden and BBQ area are all separate rentals and may be rented independently.
14. The City of Healdsburg reserves the right to stipulate requirements for each and every event depending on the nature of each event.
