School Functions

1. All Functions attended by minors shall be supervised by chaperons at the ratio of one adult chaperon for every thirty minors in attendance.

2. Chaperones shall be responsible for patrolling the dance and porch area, and for policing the grounds, parking area and each building entrance. Chaperones will cooperate with City Staff, Police, and security guards on duty at all events.


Conditions of Use

1. The applicant agrees to fully and promptly follow and obey all lawful orders given by the Healdsburg Police Department, Healdsburg Fire Department, and the Parks & Recreation Department. When a serious violation or other potentially dangerous situation exists, the applicant/group agrees to promptly terminate the activity and help evacuate the facility when ordered to do so by City of Healdsburg Staff.

2. No birdseed, rice, or red rose petals are allowed. Metallic balloons, streamers, confetti, glitter and Mylar sprinklers may not be used. Alternate suggestions might be dried flowers/leaves or blowing bubbles. Regular latex balloons are allowed only inside the building. Forfeiture of security/damage deposit may result if these requirements are not met.

3. If the bar is shut down for any reason, or the police or sheriff are called out, the entire deposit will be forfeited.

4. Applicant will be charged for replacement of lost or damaged equipment, extra cleaning time, and when the function starts before or goes over the allotted time designated on the permit. Overtime at the hourly room rate will be charged for early arrivals. Time and a half will be charged for late departures. All vehicles must be removed from the premises by the Finish time listed on the permit.

5. Weddings and/or Receptions, and events with more than 100 attendees are required to have a pre-event meeting with Villa staff at least 30 days prior to the event date. Decorations to be used must be submitted at this meeting for approval.

6. Villa personnel are responsible for setting up and taking down all Villa furniture and equipment, which includes tables and chairs, stage and sound system equipment. Large spills during an event should be attended to immediately by the rental group.

7. If rental chairs are used in the Villa, the chairs must be natural in color. No white wooden painted chairs will be allowed inside the building unless they are sanded on the bottom. Chairs used outside in the Garden may not be used inside the facility.

8. The Applicant is responsible for damage and/or breakage to Kitchen equipment and dishware, and the repair/replacement fees will be deducted from the refundable damage deposit.

9. After the initial set up is completed, if changes need to be made, Villa staff may assist, but it is the responsibility of the rental group to move the tables and chairs.

10. Rental company personnel or the Applicant is responsible for setting up and breaking down all rental furniture/equipment. Villa staff will only assist if their other duties are completed. All rental equipment must be picked up immediately following the event. If your rental company will not do this, you must make other arrangements to have your items picked up.

11. No one will be allowed outdoor areas before 8:00 a.m. and all groups must vacate the premises by 30 minutes after sunset except by special permit with prior approval. No bands or amplified music are allowed in the outdoor areas.

12. The Villa, Annex, Garden and meeting rooms are all non-smoking facilities.
